# Replenishment Backward Planning Calendar

Use this worksheet to connect the date your business needs usable stock with the remaining order stages. Fill timing fields from the responsible parties' information. Estimates and review targets remain labelled; this worksheet does not promise a completion or delivery date.

## Define the target

Required usable-stock date: __________

Place the goods must reach: __________

What must be complete by that date, including your own receiving work: __________

Goods and quantities in this plan: __________

Required date of the first quantity, if different: __________

Plan version, preparer and date: __________

## Blank dependency calendar

Add, remove or split rows to fit the actual order. Leave an unknown field visible until it is resolved.

| Stage | Must wait for | Can overlap with, if confirmed | Timing window and starting event | Target finish window (planning) | Information source and date | Responsible contact | Review by |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Product or artwork approval | | | | | | | |
| Production | | | | | | | |
| Packing and relevant checks | | | | | | | |
| China collection or warehouse work | | | | | | | |
| International transport | | | | | | | |
| Import processing and destination handling, as applicable | | | | | | | |
| Agreed South African handover | | | | | | | |
| Buyer's receiving and preparation | | | | | | | |

## Read the calendar in dependency order

- **Must wait for:** Name the completed activity, record or approval needed before this stage starts.
- **Can overlap with:** Record the other activity and who confirmed the overlap. Blank means the relationship still needs checking.
- **Timing window and starting event:** Enter an estimate or confirmed arrangement with its basis. A duration beginning after approval must be tied to that approval.
- **Target finish window (planning):** Derive a planning target from the required stock date and the confirmed dependency path. Keep this separate from the provider’s estimate and the follow-up date.
- **Information source and date:** Keep the message, quotation, booking or other record reference with the update date.
- **Responsible contact:** Name the party who can confirm this stage. This is separate from who approves a proposed change.
- **Review by:** Set the next follow-up target. Keep it separate from the expected completion date.

Trace sequential activities through the plan. Activities confirmed to run together share time; do not add all their durations as if they were consecutive. Where several activities must finish before the next one begins, check that all prerequisites have been met.

## Fictional example rows

This invented example illustrates an overlap and a dependency. It is not a supplier promise, Jeton order, lead-time benchmark or customer record.

| Stage | Must wait for | Can overlap with, if confirmed | Timing window and starting event | Target finish window (planning) | Information source and date | Responsible contact | Review by |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Standard goods production | Agreed product specification | Buyer review of outer-carton artwork, according to supplier | Supplier to provide estimate and start condition | [planning target to derive] | Example supplier reply dated [date] | Buyer to assign | [review date] |
| Final packing | Finished goods and approved carton artwork | No overlap confirmed | Packing arrangement to be confirmed after both prerequisites | [planning target to derive] | Example plan, version A | Buyer to ask supplier | [review date] |

If the supplier requires artwork before production, revise the first dependency rather than using the example's overlap.

## Reconcile the target

Does the current dependency path support the required stock date? __________

Unconfirmed stage or gap: __________

Contingency allowance, its reason and where it is applied: __________

Alternative to investigate and information needed: __________

Plan or change approved by and date: __________

Next review trigger: __________
