FAQs

Common buying and shipping questions.

Send product links for buying assistance, or an order list for receiving and consolidation in China.

Buying and payment

Can I send product links or bring my own supplier?

Both are useful starting points. Links need the intended version, specifications and quantities; existing suppliers need order references. The purchase proposal defines whether the work is buying assistance, supplier coordination or consolidation of goods you have already ordered.

Are you buying on my behalf or selling the goods to me?

Buying assistance and resale are different arrangements. Your proposal should name the purchasing party, supplier, payee and invoicing party. The product cost and any buying or handling service should be identifiable before payment.

What does the buying service fee include?

The scope determines the work charged: for example, supplier communication, purchasing coordination or an agreed check. The proposal should separate goods, domestic delivery, service charges, currency conversion and freight, with payment and refund conditions stated.

Is there a minimum order quantity?

A supplier’s MOQ, a buying-service minimum and a transport minimum are different thresholds. Send your quantities first so the applicable supplier and logistics conditions can be assessed. Applicable minimums are confirmed in the proposal.

Receiving and consolidation

Can I request consolidation without buying assistance?

Describe the orders you already have, supplier locations and expected arrivals. Receiving, checks, packing and transport can be scoped around the stages you need. Obtain the receiving instructions before suppliers dispatch goods.

Does a warehouse check mean every product is tested?

No. Carton counts, visible-condition checks, item counts, sampling and functional tests are different tasks. The agreed scope should identify what is opened or tested, the sample size where relevant and the record provided. Photos alone do not establish performance or regulatory compliance.

What happens if goods are wrong, damaged or late?

A discrepancy needs a supplier or order reference, evidence and an instruction: hold, accept, return, replace or split the shipment. Supplier remedies, return costs, storage and any extra freight follow the agreed purchase and handling arrangements.

Will supplier records stay connected after repacking?

A useful packing summary links the final carton numbers to supplier orders, items and quantities. Original transaction invoices remain separate from the logistics summary. The records included in your shipment should be identified before dispatch.

Freight and charges

Why might the freight estimate change after receiving?

Final packing can differ from supplier estimates. Carton count, weight and dimensions may change after repacking. The quote should state the dimensional divisor, rounding, per-carton or shipment-level calculation, minimum charge and approval process for changes.

Should I choose sea freight or air freight?

Compare packed size and weight, cargo attributes, ready date and required destination. Sea freight may suit planned larger replenishment; air may suit urgent items or samples. Sending urgent items separately is another option to compare.

How should I read a transit estimate?

Identify its starting milestone and endpoint. Supplier production, domestic delivery, consolidation, departure, clearance and final delivery are separate stages. A sailing or flight estimate is not the full purchase-to-delivery schedule.

Import and delivery

What changes between DDP and DAP?

Under DDP the seller takes responsibility for import clearance and applicable duties and taxes; under DAP those import responsibilities sit with the buyer. The logistics proposal also needs to identify the importer, payment arrangement and precise handover point.

Does DDP always mean delivery to my door?

The named destination matters. Warehouse collection and delivery to your address are different scopes. The quotation should identify the address or collection point and the treatment of local delivery, access, unloading, storage and other exceptions.

Does the freight company automatically become the importer?

No. Arranging transport, submitting customs declarations and acting as importer are distinct roles. The shipment arrangement must identify the importer and authorised customs representative. A tax-inclusive rate alone does not establish either role.

Will a DDP shipment give my business import VAT records?

The available records depend on the actual import arrangement. State your document requirements before booking. Import VAT treatment depends on the principal or importer, taxable business use and the required customs, release and payment evidence, including prescribed agent records where applicable. DDP alone does not determine eligibility.

Starting and staying informed

What updates and documents will I receive?

The proposal should list the updates and records available at each stage: receiving and checks, final packing, applicable transport and clearance documents, and handover evidence. An arrival milestone, customs release and delivery confirmation each mean something different.

What should I send first?

Start with a product link or short goods description, approximate quantity and South African city or postcode. If your suppliers are already arranged, send their order list and available packing details. Missing dimensions or an unconfirmed importer can be discussed in the next step.
