End your weekly order review with an owner, a next action and a review date for each open issue. For a South African store buying from China, that makes supplier updates useful to the person deciding what to follow up next.
Use one working board for the orders you need to discuss. Keep the supplier's latest update beside the evidence received and the decision still outstanding. Start with the weekly order review template and adapt it to your team.
Start with the products your store needs next
Begin with saleable stock, existing customer commitments and recent sales for each important product. Separate items already on the shelf from orders still being manufactured or transported. Incoming stock should have its own expected availability date and supporting update.
Use your store's sales history and actual replenishment experience to judge urgency. DHL's inventory forecasting guide explains how sales and lead time can inform planning. Fill the board with your own quantities and dates, taking promotions or seasonal demand into account.
For an imported product, record the stages still ahead: production, checks, collection, transport and the agreed South African handover. Ask the responsible party to update the stage they control.
Give each order a status with supporting evidence
Use these suggested headings to make an update easier to act on:
| Working status | Record to request | Decision to make |
|---|---|---|
| Order details agreed | Current product specification and quantity | Are any changes awaiting approval? |
| In production | Supplier progress update and expected readiness | Does the store need to revise its plan? |
| Ready for collection | Named location, packing details and supplier confirmation | Can collection be arranged? |
| Received at the China warehouse | Receiving record for the goods actually received | Does the receipt match the expected order? |
| Awaiting approval or documents | Open issue, responsible person and required response | Hold, clarify or authorise the next action? |
| Transport or handover stage | Relevant booking, transport or handover record | What remains before stock can be made available? |
These headings describe a buyer's board. A provider may use different statuses. Agree their meanings together, especially where receipt, inspection and approval are separate services.
Flexport defines a cargo ready date around expected availability for collection at a named location. Keep that supplier update separate from a warehouse receiving record and from your store's expected saleable-stock date.
Review the exceptions before the routine updates
For each open issue, record what changed, what evidence is missing, who owns the next action and when you will review it again. A useful entry might read: “Supplier B revised the packing date. Request the updated carton list before comparing dispatch options.”
Keep the original quantity or date beside the revision. Flexport's order management page shows how its own platform links supplier changes and messages to purchase orders. A small buyer can adopt the recordkeeping principle in a simpler working file.
Separate an update from an instruction. If a supplier reports a delay, the buyer still needs to decide whether to wait, change a customer promise or request a revised shipment proposal.
Turn the review into an approved action
Consider this illustrative situation: a supplier reports that production is complete, but the packing list still shows quantities from an earlier order version. Your board records the production update alongside an open packing-information issue. Assign someone to obtain the corrected list and identify who must approve it.
Check whether the revised information affects the proposed collection or freight arrangement. Ask the provider to confirm any relevant changes in writing. The weekly review should leave one clear action and a date for checking the response.
Finish the meeting with a named action: obtain missing packing details, approve a specified change, request another quote, or hold the order pending clarification. Keep the approval linked to the version it covers.
Bring the relevant records to the shipment discussion
To review an open order issue with Jeton Express, share the product and supplier reference, the latest update and the action awaiting approval. Include the missing information and your South African destination. The written proposal confirms the purchase, warehouse and freight scope required for that order.
